VOLUNTEER HANDBOOK
SWIM TEAM MEET CREW HANDBOOK
Our Mission:
To provide a safe, fun and competitive swim experience, in an environment of sportsmanship and respect for fellow participants, volunteers and for the facilities used for these events.
MEET DIRECTOR
1 person:
Responsible for overseeing all aspects of the event including:
- Ensure all crew supply boxes are stocked and ready for their lead person to distribute or set up as necessary.
- Communicate with coaches throughout the process as well as train volunteers as needed.
- Arrange logistics with the pool staff for set up and tear down to meet our responsibilities.
- Maintain a full crew for all positions and find replacements for those that need to leave early.
- Make decisions as to the point at which the meet may need to be terminated weather and/or time. Always being watchful to prepare for issues before they happen and rectify in the least disruptive manner possible.
- Responsible for assisting the Equipment Manager with those responsibilities (below) to make sure all supplies and equipment are delivered to the pool and collected at the end of the meet; sorted and prepared for the next meet.
- Work with Parent Volunteer Coordinatorto ensure that all meet crew positions are filled and those volunteers are trained and equipped to be prepared for the meet.

ANNOUNCER
1 person:
- Welcome, introduce and thank everyone involved
- Announce the meet order and call appropriate heats
- Start events with the sound of the horn

- PA System- microphone
- Starting horns - 2
- Heat Sheet
- Title card/lanyard
STARTER
1 person:
- Responsible for starting of the clocks for all the timers
- Responsible for merging events and making sure that the announcer and scorekeeper are informed of changes
Supply box:
- Heat sheet
- Power supply (shared with Scorekeeper)
- Located - at table under cover (if no wind)
- Table (shared with Scorekeeper)
- 1 bench
SCOREKEEPER
1 person at a time controls computer input but 2 people need to be lined up to allow for sharing responsibilities:
- Monitor, review and update all results - ignore erroneous DQ’s, etc
- Manually enter times missed or when correction is warranted
- Adjust or fix swimmer numbers as needed
- Change heats to a different part of the line up if needed
- Work side by side with the starter and announcer to maintain efficient and accurate flow of the meet
- Generate results and print for posting on the exterior wall of the building for swimmer and parent viewing asap
- Print labels periodically through the meet to have all of these completed by the end of the meet
- Publish the results, High Point Winners and team results
Supply box:
- NOTE: Computer will be provided to you by Meet Director, pre-loaded with the meet.
- Appropriate power cords and printer
- Notepad, pens, pencils - other office supplies, i.e. tape
- Printer, paper, back-up toner cartridge and any appropriate cords
- 2 - Scorekeeper “name cards” on lanyards
ATHLETE GUIDES
4 GUIDES & 2 RUNNERS at one time- double crew to allow switch to a second crew at event 40:
- Gather swimmers and line up on benches so they are ready, waiting for their turn
- Coaches are responsible for assisting to gather swimmers for their events
- Line up swimmers for their heats on benches in order of their lane; swimmers move forward with each completed heat.
- Give each swimmer a lane assignment card to hold until they go to the starting block.
- Runners collect these numbers and return them back to the Wranglers.
Equipment & Supply Box:

6 benches & 12 chairs
- 1 small table
- Lane cards - 6 sets of 1 - 6 (bright green laminated sheets)
- 4 Heat Sheets
- 6 Chair numbers, #’s 1-6 attached to chairs, Zip-Ties
- 1 tent (4 tie-down buckets to fill with water and bungees - do not set up if wind is expected)
- Pens
- First Aid fanny pack
- Whiteboard - to post events being lined up
TIMERS
12 people at one time - double crew to allow for second crew at event 40:
- Two timers per lane
- Stop the clock when swimmer touches wall
- Records each swimmer’s ID number - on Relays, be sure to enter all four swimmer numbers during the race
Supply box:
- 12 heat sheets
- 12 Time Drops
- 12 Stopwatches (for back-up only)
- 6 kickboards (delivered by Equip. Manager) - to protect swimmers from hitting head on wall during backstroke events
- 12 Timer “name cards” on lanyards
STROKE & TURN JUDGES
4 people:
- Two judges required from each team stationed on opposite sides of the pool
- Record infractions - ID number and what the specific infraction is. Swimmers 8 & younger events will not be DQ’d for infractions during the first two meets of the year.
Supply box:
- 4 Small Clipboards and pens
- Appropriate supply of DQ slips
- 4 Heat Sheets
- 4 Stroke & Turn Judge “name cards” on lanyards
PLACER
2 people - one to watch and one to record:
- Locate themselves where each race finish placement can easily be seen.
- Record finish order of each lane on a place sheet and submit this to the scorekeeper for verification if and when needed.
Supply box (in Timer’s box):
- 1 Clipboards and pens
- Appropriate supply of event place verification slips
- 1 Heat Sheet
- 2 Placer “name cards” on lanyards
RIBBONS/AWARD/RESULTS
2 people:
- Ribbon Labels will be printed as results are generated. Put these on appropriate ribbon and put into appropriate envelope for each team’s swimmers
- Post results sheets onto the wall of building
Supply box:
- Labels (need approximately 25 sheets available)
- Ribbons & big envelopes to put each team’s in to give to the coach
- Roll of Clear strapping tape to attach printed result sheets to wall
